This Privacy Policy describes how HostelPort (operated by M_and MB Soft Tech) collects, uses, stores, and protects your personal data when you interact with our website, portals, dashboard applications, and mobile APIs. By using our platform, you consent to the data practices described in this policy.


2. Information We Collect

We collect information to provide a streamlined, secure experience. The scope of information depends on your platform role:

Students & Guests

Lightweight registration details: full name, email address, and phone number. Official ID documents (citizenship certificate, PAN, or photo) are collected later only if enrolling as a resident.

Hostel Owners

Business and registration records, official property verification documents, full profile details, and payout details required to list properties on the portal.

Wardens

Invitation-based profile data, linked hostel assignments, and activity logs. Warden accounts are created solely via owner-issued invite links.


3. How We Use Information

HostelPort uses the collected information for the following business purposes:

  • Facilitating searches, filters, and bookings of hostels in Nepal.
  • Warden-led booking verification and room assignment processes.
  • Generating invoices, receipts, and ledger files inside the owner and warden financial modules.
  • Verifying owner profiles and hostel authenticity via our Super Admin verification queue.
  • Maintaining internal audit trails, security features, and notifications (email, SMS, and in-app updates).

4. Data Sharing & Storage

We respect your privacy and do not sell your personal data. Data is shared only in the following scenarios:

  • Between Tenants & Wardens: To verify reservations and coordinate check-in documents.
  • Payment Processors: Mock gateways, eSewa, and Khalti credentials/transactions are routed securely for transaction logging and verification.
  • Legal Compliance: When requested by official judicial bodies or authorities under the laws of Nepal.

5. Data Security & Soft Delete

We employ standard security protocols (SSL/HTTPS, password hashing, and role-based permissions) to safeguard your information.

Soft Delete System: Consistent with our software rules, critical records (bookings, tenant histories, and profiles) are never hard-deleted. Instead, they are flagged as deleted (`deleted_at`) to preserve ledger auditing integrity and protect against accidental loss.

6. Nepal Legal Compliance

HostelPort complies with local guidelines, including the **Electronic Transactions Act, 2063 (2006)** and other privacy regulations governed by the Government of Nepal.
