Terms of Service

Effective Date: July 11, 2026 • Last Updated: July 11, 2026

1. Acceptance of Terms

These Terms of Service ("Terms") govern your access to and use of the HostelPort platform (including websites, dashboards, portals, and mobile applications). HostelPort is operated by M_and MB Soft Tech in Nepal.

By registering an account, booking a room, listing a property, or otherwise using the platform, you agree to comply with and be bound by these Terms. If you do not agree with any part of these Terms, you must not use or access the services.

2. Accounts & Role Scope

Access to certain features of the platform requires account registration. Different roles carry specific permissions and operational constraints:

  • Students / Guests: Anyone can search and view listings without an account. A lightweight account (full name, email, and phone) is required to bookmark listings, message wardens, or book a reservation.
  • Hostel Owners: Owners must apply via the Owner Registration flow, providing property and registration details. All owners undergo a Super Admin verification queue before listing or provisioning.
  • Wardens: Wardens cannot self-register. Warden accounts must be provisioned by a verified Hostel Owner via a secure, token-based invitation link that expires 48 hours after issuance.

3. Reservations, Bookings & Refund Policies

HostelPort facilitates reservations between students and hostels. The following policies apply:

Booking Verification and Payments

Bookings made on the public portal must be verified and approved by the assigned hostel warden. Online payments processed via eSewa or Khalti integrations are handled securely.

Refund and Cancellation Policy

Refunds and cancellations are subject to each individual hostel's booking terms. Because HostelPort serves as a platform, all final refund requests must be authorized and processed by the respective hostel's management.

4. Resident Enrollment & ID Collection

To maintain safety and satisfy local laws in Nepal, additional verification is required at enrollment:

  • ID Verification: A student must upload a valid copy of their Citizenship Certificate or Government National ID card.
  • Guardian Details: Students must provide guardian contacts and secondary emergency contacts.
  • Photo Collection: A recent passport-sized digital photograph is collected by the warden before or during physical check-in to confirm residency.

5. Limitation of Liability

HostelPort serves as a discovery and management platform. We do not own, manage, or operate individual hostels listed on the site. We are not responsible for any disputes, damages, or injuries that occur between residents, wardens, and owners. Hostel listings represent self-submitted information by verified owners, and we do not guarantee the performance or condition of properties.

6. Governing Law & Dispute Resolution

These Terms shall be governed by, and construed in accordance with, the laws of the Federal Democratic Republic of Nepal. Any dispute arising out of or in connection with these Terms or use of the platform shall be subject to the exclusive jurisdiction of the competent courts in Kathmandu, Nepal.
